Business Events Tokyo

Dear planners, organizers and business partners,

In Tokyo, business events are reopening by every local industry partner operating under strict guidelines to secure a safe and hygienic environment for all visitors.

Effective from September 19, the national government has relaxed its regulations on hosting events in Japan. By taking firm safety measures, including the wearing of masks for all participants, meetings and exhibitions are allowed in the following capacity:

- No limitation on the number of people for venues with a capacity of 5,000 people or less.
- A maximum of 5,000 people allowed for venues with a capacity between 5,000 and 10,000 people.
- Restriction of 50% of the capacity for venues with a capacity of 10,000 or more.

The above regulation will remain in force until the end of November.

Currently, seven Asian countries and regions are in Japan’s expanding travel bubble, namely Cambodia, Laos, Malaysia, Myanmar, Taiwan, Thailand, and Vietnam. Short-term business travel between Japan and Singapore resumed on September 18.

The effort of applying strict safety measures by the local industry partners in Tokyo led to impressive successes in the new era of co-existing with COVID-19. We are happy to introduce success stories of several large-scale gatherings.

MICE Future Action 2020: Symposium in a “New-normal” Style

Exactly one year before the Olympics, a hybrid event, the MICE Future Action Symposium, was held at Roppongi Academy Hills on July 24. The event had a total of over 2,000 participants, both in-person and online. The buffet-style party held after the Symposium with multiple safety measures was a splendid showcase of a new social gathering in the “new normal” era.

The 120th Annual Congress of Japan Surgical Society (JSS120) successfully concluded as a completely online conference from August 13 to 15. The Congress gained an impressive record number of over 19,000 registrations from all over Japan and overseas. Some of the sessions (over 250 in total), including the opening ceremony, plenary, and the special lectures, were streamed live from Kioi Conference in Tokyo and other sessions from PACIFICO Yokohama in the neighboring city of Yokohama, where the Congress originally planned to take place.

Congress organizers and participants crave in-person events to return; however, through full-online JSS120, they experienced and realized the benefits of remote gathering.

Hybrid Experience Brings Success for the Japanese Association for Infectious Diseases Meeting

On August 19 through 21, the Japanese Association for Infectious Diseases successfully hosted its 94th Annual Meeting in a hybrid format, attracting approximately 600 in-person attendees at Grand Nikko Tokyo Daiba and 2,400 online participants. The number greatly exceeded last year’s total of 2,600 participants.

The meeting was a wonderful opportunity for the organizers, the venue, and various suppliers to learn about the benefits and challenges of a gathering with simultaneous online and in-person experiences.
